Day To Day
Follow up on proposals, invoices & previous enquiries. Answer, screen & forward any incoming phone calls while providing information when needed & responding to emails/orders. Be resourceful and proactive in dealing with issues that may arise. Organise, multitask, prioritise and work well under pressure. Organising sales material, brochures, data etc. Customer orders, finalise & process the orders. Maintain Sales orders files, Set up new customers, track orders, create & maintain files. Inventory
Organise and monitor inventory levels to maximise efficiency. Ensure sufficient supply of current products by maintaining minimum stock holdings and forecasting stock requirements with Lucy. Prepare suggested stock purchase orders in coordination with Lucy. Maintain order information & data files issued against Purchase Orders. Forecasts will be supplied to procurement to process with supplier & confirm delivery. Ensuring all WellBe brands are registered under the correct regulatory authorities & processing new product registrations. Orders & Payment
Complete customer invoices & arrange collections in conjunction with the delivery schedule. Managing contracts, documents & new account set up forms. Prepare stock returns & exchanges in line with finance procedures. Reconcile outstanding customer account balances & arrange collections. Co ordinate with accounts to prepare SOA’S ready to send out on the 1st week of each month. Incoming Stock Deliveries
Receive & oversee all stock replenishment deliveries in accordance with company policy with the assistance of supply chain. Any damaged or missing items must be reported to management. All expiry & batch numbers to be recorded for all liquid items. Stock Takes
Audit and track stock transfers through system. Review and conduct month end stock takes. Report & follow up on stock take adjustments. Report back or escalate issues and discrepancies. Outgoing Customer Deliveries
Follow up with customers to arrange deliveries, schedule with drivers and logistic team. Audit and track stock transfers through stock system. Ensure stock is delivered on time and in expected quality & condition. Inform clients of unforeseen delays or problems Reporting
Financial monthly reports to be submitted to management by the 1st week of each month, including all WellBe Products. Financial weekly overview to be submitted to Lucy every Thursday by close of business. KEY POINTS : Knowledge of software systems/CRM/Microsoft office/Excel Experience processing product registrations Processing invoices & client inquiries Managing stock/inventory A/R & payment collections
