Description
We are looking for a highly organized and efficient Office Secretary to manage day-to-day administrative tasks, support office operations, and ensure smooth communication within the organization. The ideal candidate will be professional, detail-oriented, and capable of handling confidential information with discretion.
Key Responsibilities
Administrative Support
Answer and direct phone calls, emails, and other correspondence.
Schedule and coordinate meetings, appointments, and conferences.
Prepare, edit, and distribute documents, reports, and presentations.
Office Management
Maintain office supplies inventory and place orders as needed.
Manage filing systems, both electronic and physical, to ensure records are easily accessible.
Ensure the office is clean, organized, and well-maintained.
Communication and Coordination
Act as the first point of contact for visitors and staff, providing excellent customer service.
Coordinate with other departments to facilitate efficient office operations.
Assist in planning and organizing company events or activities.
Confidentiality and Record-Keeping
Handle sensitive information with utmost confidentiality.
Maintain accurate and up-to-date records of employee and company information.
Key Qualifications
High school diploma or equivalent; additional qualifications in office administration are a plus.
Proven experience as a secretary, administrative assistant, or similar role.
Proficient in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
Strong written and verbal communication skills.
Exceptional organizational and multitasking abilities.
Ability to work independently and as part of a team.
Work Schedule
Full-time, Monday to Friday, with occasional flexibility required.
