Position Summary: The Administrative Assistant provides essential support to the team, handling day-to-day tasks that keep the office organized and efficient. This role is like the “glue” of the workplace, ensuring that schedules, documents, and communications are well-coordinated.
Key Responsibilities:
Manage and organize office tasks, including scheduling meetings, maintaining records, and organizing files
Handle incoming calls and emails, directing them to the appropriate team members
Coordinate office supplies, ensuring necessary materials are available for smooth operations
Prepare and format documents, presentations, and reports
Assist in planning and organizing events, meetings, or travel arrangements for team members
Maintain and update databases, ensuring accuracy and confidentiality of information
Provide support to team members on various projects, like a “catch-all” assistant who helps where needed
Assist with basic bookkeeping tasks such as processing invoices or expense reports
Requirements:
High school diploma or equivalent; associate or bachelor’s degree is a plus
Strong organizational skills, like the ability to juggle multiple tasks at once
Excellent written and verbal communication skills
Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace)
Ability to handle sensitive information with discretion
Strong attention to detail and problem-solving skills
